MS Exchange overview

What exactly is Microsoft Exchange?  Microsoft Exchange is a powerful messaging and collaboration software that runs on a dedicated machine (a server) and whose purpose is to help you send and receive e-mail, manage your contacts, organize and prioritize your tasks, keep track of your calendar, and share files at anytime and from anywhere in the world that has internet access.

How does it work?  Your e-mail, tasks, calendars, and specified files all reside on a computer server that is up and running 24/7, which you, and those you give access to, have the ability to see and update.

Microsoft Exchange was designed to work hand-in-hand with client applications like Microsoft Outlook.  So in order to update the information on the server, you would simply open up Outlook (or other compatible client application) on any one of your network devices (laptop computer, handheld mobile device, or desktop computer) and make changes as needed.  Your network device will then automatically update the information on the server, and then the server will update all pertinent data onto the network devices of your co-workers.

What if I don’t have a computer server?  Some businesses or individuals choose to run Microsoft Exchange in-house, on their own server at home or at the office.  Doing this may easily run up an initial cost of $10,000 or more, which doesn’t include maintenance costs.  As a result, many Microsoft Exchange users opt to sign up for what is known as “hosted” Exchange, where, for a monthly fee, you can have all the benefits of Microsoft Exchange without the cost or hassle of hardware and software maintenance (security, upgrades, optimizing performance, backup, spam filtering, etc.).
