How can Microsoft Exchange benefit you?  

Immediate E-mail Access:  With Microsoft Exchange, you can access your e-mails from any computer anywhere and at any time.  And better yet, if you have a handheld mobile device such as a smartphone, you can program it to automatically check for e-mails as often as you want.  If you are in a business where you cannot be tied to your desktop computer all day, but need to be able to read and respond to e-mails as soon as they come in, MS Exchange could be the answer for you. 

File Sharing:  If you have documents or data that need to be accessed by one person on the go or a whole team of people,  Microsoft Exchange allows a shared central point of access for uploading and downloading files by all authorized people.  And, as with e-mail, you can access it at any time and from anywhere in the world that has internet access.  You can also decide, by assigning permissions, which users can view, change, and/or delete the shared files.  By sharing information and resources, teams can avoid duplication of work as well as create synergy by feeding off of their team members' input.

Calendars/Scheduling:  This feature will allow you and your co-workers (or family members) to share calendars and schedules with each other, making it easier to schedule meetings/events, reserve meeting rooms or other resources, and enabling you to just keep tabs on each others’ activities.  Each user can decide how much detail to share with others (i.e. you can just share that you’re booked between noon and 2:00 p.m., or you can share that you’re in a client meeting during that time). 

Task List
:  You will no longer have to keep your to-do list on a Post-it Notes or trust your overtaxed brain to remember everything.  You can create a task list on your computer or on your handheld mobile device and then prioritize, share, and/or assign those tasks to others on your team as needed.

Shared Contacts:  Improve team efficiency and coordination with one central contacts list on the Exchange server.  You will no longer have to remember to e-mail everyone on your team with a client’s contact information.  Just one entry into the server makes it available to everyone who has been given access privileges. 

Modes of Access: All of the above features can be accessed through the Outlook software on your desktop, laptop, or handheld wireless device OR through an internet web browser.  So if you are on a computer that doesn’t have Outlook on it, you can still access all your information just by logging onto your Exchange web page.

Syncing:  All the information on the server (contacts, files, calendars, tasks, e-mail) can be synced automatically as often as you like between your handheld or your laptop/desktop computer and the Microsoft Exchange server so that everyone is up-to-date.

Recover deleted items:  If you find you need to recover a deleted piece of information that resided on the server, MS Exchange will allow you to resurrect a file for a period of three days.

Scalability:  With hosted Exchange, you have the ability to scale up or down depending on how many users you have and how much memory you require.  This will have a direct effect on your monthly fees, allowing you to tailor the costs of MS Exchange to your needs.
